What happens to records during a dispute?
In short: They are kept until the dispute or claim is settled, even if a deletion request comes in, because the record is the evidence. I share it with the other party only when you ask me to support you.
Recordings, photographs and custody logs exist for exactly this moment. When you ask me to support a claim or a dispute with a grading company, an insurer or a platform, I send the relevant record to them.
If the dispute is with me, raise it by email first and I answer in writing. The engagement letter states Arizona law and the process that follows. See how to raise a concern and the retention and consent policy.
What usually matters in a dispute is the chain: the condition recorded when a card was pulled or received, the custody log showing who held it and when, and the photographs when it came back. For a grading return, the outbound photographs and condition notes are your evidence; I prepare the comparison and you make the claim.
While a claim or dispute is open, I keep the records it depends on, even if you have asked for earlier deletion. Once it is settled, the normal schedule applies. See what is chain of custody?
